The process is designed to be as easy as possible for busy parents, teachers, and school administrators. Here's how it goes:

Send us the school logo or crest. Most schools have a logo file available from the front office or the district website. Email it to us or bring it by the shop. Even a decent image from the school's Facebook page can work in a pinch.
We digitize it. We convert the artwork into an embroidery stitch file. This step is included in your order and makes sure the logo stitches out clean and accurate.
Pick your garments and collect sizes. Choose from our catalog of polos, jackets, hats, and more. If your school has a specific color requirement, let us know and we'll find the right match. Collect sizes from your group — we carry youth XS through adult 4XL on most items.
Approve the proof. We'll send a digital mockup showing exactly where the logo will go, what colors we'll use, and how big it'll be. Nothing gets stitched until you give the OK.
We stitch and deliver. Most school orders take about one to two weeks. If you got a deadline — like homecoming week or the first day of school — let us know upfront and we'll do our best to hit it.

Embroidery vs. Screen Printing for School Gear

We get this question alot from schools. Which is better — embroidery or screen printing? The answer depends on what your ordering and how many you need.

Embroidery is the best choice for uniform polos, staff jackets, and anything that needs to look polished and last a long time. The stitching is built into the fabric. It wont crack, peel, or fade. Its the standard for school uniforms because it can handle daily wear and constant washing.

Screen printing works better for spirit wear t-shirts, event shirts, and large-run orders where cost per piece matters. If your PTA is ordering 300 shirts for a fun run or a school carnival, screen printing is more cost-effective for that kind of volume. We do both at Kvalito under the same roof. School Embroidery — Frequently Asked Questions

Do you offer bulk discounts for schools?
Yes. The more you order, the lower the per-piece price. Schools that order 50 or more items at once typically see a nice price break. Call us with your quantities and we'll give you a straight answer on pricing.

Can parents order individually?
They can, but it's more cost-effective to collect all sizes and place one group order. We keep the stitch file on hand so reorders for new students or staff are quick and don't require another setup fee.

What if our school logo has very small details?
We'll let you know upfront if any elements of the logo are too small to stitch clearly. Sometimes tiny text or thin lines need slight adjustments to look good in thread. We always show you a proof before stitching so there are no surprises.

How long does a school order take?
Most orders are done in one to two weeks. Larger orders or orders placed during back-to-school season (July–August) may take a little longer, so plan ahead if you can. Rush orders are possible — just ask.
